Background
Pedalogic Ltd (company number 15767530) (‘Pedalogic’) is the entity responsible for the collection and use of personal data associated with Pageticker.
Pedalogic Ltd is registered as a data controller at the Information Commissioner’s Office (ICO) with registration number ZB818210.
This Privacy Notice is for students, teachers, other school staff and (where applicable) parents who use Pageticker. This notice gives you information about how we collect, use and protect personal data to deliver our service.
Key Information
Pedalogic processes the personal data of students, teachers and (where applicable) parents on behalf of schools to deliver Pageticker. Under UK GDPR, schools using Pageticker are data ‘controllers’ and Pedalogic, as the provider of Pageticker, acts as a data ‘processor’.
Schools share personal data about students, teachers and (where applicable) parents with Pedalogic. Pedalogic calls this ‘school data’. This personal data is provided by the school either from the school management information system (MIS) via Wonde or voluntarily by parents.
Pageticker also collects personal data as the product is being used - we call this ‘usage data’.
We have implemented appropriate technical and organisational security measures to protect school data against accidental, unauthorised or unlawful destruction, loss, alteration, disclosure or access. Further details are available here.
Personal data relating to students (Student Data)
What Student Data is collected by Pageticker?
In connection with Pageticker, your school will provide us, from your school’s MIS via Wonde, with certain School Data relating to your students (either required or optional) as follows:

Required: certain personal data relating to your students including their name, gender, year group, class, date of birth and unique pupil number (UPN) or other identifying code (where UPN is unavailable) which we require for you to use Pageticker;

Optional: the school email addresses of your students;

Optional: personal data fields relating to your students that allows reading analytics functionality (for example, more detailed reporting) including pupil premium status, free school meals and whether they speak English as an additional language;

Optional: personal data fields relating to your students’ parents that enables us to send them invitations to create Pageticker accounts for the purposes of logging reading, for us to send weekly reading summary emails on your school’s behalf, including their name and contact email address
In connection with the usage of Pageticker, certain usage will be generated. Student users of Pageticker at your school will directly create the following Usage Data:

A unique user ID for each student distinct from their UPN;

The pages and books read by students, along with the type of reading, and associated times and dates

Tricky words
-
Values associated with reading rate, accuracy, comprehension and expression

Book ratings
-
Book reviews
-
Parent and teacher comments on reading sessions

Any analysis of the above

Additionally, student users of Pageticker may also indirectly create the following anonymised data:

How is student data used by Pageticker?
Pedalogic processes Student School Data and Student Usage Data for the following purposes:

Delivering Pageticker at your school, including MIS integration via Wonde;

Creating and administering secure user accounts, log-ins and profiles for teachers and students;

Making automated book suggestions for each student

Providing insights and reports to teachers

Providing reports, reminders and seeking feedback by email to students’ parents

Providing technical and user support

Evaluating and improving Pageticker (for example, analysing user activity or testing new product features)
Personal data relating to teachers (Teacher Data)
What Teacher Data is collected by the Pageticker?
School data: In order to create and administer teacher user accounts, Pedalogic processes School Data relating to teachers including:

Their name, role, school email address and teaching classes (Teacher School Data).
Teacher School Data is populated in the Pageticker product via your school’s MIS integration via Wonde.
Usage Data: Pageticker gathers teacher usage data when they use Pageticker (Teacher Usage Data). This includes:

A unique user ID for each teacher;

Linking their user ID to the following activities: logging in to the platform; liking, acknowledging or commenting on a child’s reading; recording a child’s reading; book assignments and recommendations.

Product feedback (for example, in-product questionnaires/surveys)
Additionally, teacher users of Pageticker may also indirectly create the following anonymised data:

Analytics data including browser type and version, operating system, device and unique identifiers such as IP addresses and behavioural cookies.

How is Teacher Data used by the Pageticker?
Pedalogic processes Teacher School Data and Teacher Usage Data for the following purposes:

delivering Pageticker at your school, including MIS integration via Wonde;

creating and administering secure user accounts, log-ins and profiles for teachers;

making automated book suggestions for each student

providing usage reports to school account holders

providing reports, reminders and seeking feedback by email to students’ teachers

providing technical and user support

evaluating and improving Pageticker (for example, analysing user activity or testing new product features)
Personal data relating to parents (Parent Data)
What Parent Data is collected by Pageticker?
School data: Where they choose to do so, schools can securely provide Pedalogic with school data relating to students’ parents (Parent School Data) in order to aid parental account creation and to update parents on their child’s progress. This includes parent names and email addresses.
Usage data: This includes:

A unique user ID for each parent;

Linking their user ID to the following activities: logging in to the app; liking, acknowledging or commenting on their child’s reading; recording a child’s reading; book recommendations.

Product feedback (for example, in-product questionnaires/surveys)

How is Parent Data used by the Pageticker?

providing reports, reminders and seeking feedback by email to students’ parents

With whom does Pedalogic share personal data and where is it stored?
Pedalogic, as providers of Pageticker, may disclose Student Data to:

Teachers at the student’s school;
-
(Where applicable) staff at the student’s school’s multi-academy trust or other school group (MAT); and
-
(Where applicable) parents/guardians of individual students (parents will only receive Student Data about their own child).
Pedalogic may disclose Teacher Data to:

Other teachers at the teacher’s school;
-
(Where applicable) staff at the teacher’s school’s MAT.

(Where applicable) names of teachers are shared with the parents of children in their class
Pedalogic may disclose Parent Data to:

Teachers at the relevant student’s school; and

(Where applicable) staff at the relevant student’s school’s MAT.
Student Data, Teacher Data and Parent Data may also be disclosed to:

Pedalogic staff; and

Support companies used by Pedalogic to deliver the Pageticker (a list of our support companies is available here).

Whilst it is almost impossible for a company to provide an effective digital experience without the use of third-party support companies, we at Pedalogic endeavour to keep our use of such companies to a minimum.
We have binding written UK GDPR-compliant data processing contracts with each of our support companies, who are carefully selected, audited and approved.
Support companies may be based outside of the UK however, where this is the case, data transfers to them are subject to a legally enforceable mechanism which is permitted under UK GDPR. Our default position is we do not transfer personal data derived from school data relating to students outside the European Economic Area.
Save for our support companies, Pedalogic will not share Student Data, Teacher Data or Parent Data with third parties without the prior written permission of the relevant school. However, we may share anonymised data sets with third parties without restriction, including for research, product development and other business purposes.
For how long is personal data stored?
Pedalogic does not keep personal data for longer than is necessary. School data and usage data is processed for the duration of each school’s use of the Pageticker. School data is retained after the school finishes using Pageticker or an individual leaves the school for a maximum of two (2) years to fulfil school reporting and other requirements (including continuity of service should the school wish to re-subscribe to Pageticker). Once school data is no longer required for these purposes, or at the request of the school at any time after it finishes using Pageticker, it will be permanently deleted so the remaining usage data is anonymised. The anonymised data sets will be owned by Pedalogic and may be used for research, product development and other business purposes.
Cookies
In order to provide the Pageticker brochure site and teacher dashboard via a web browser, we will place cookies on users’ devices. Cookies are used to collect standard internet log and user behaviour information. This information is used to provide core functionality of Pageticker, ensure security, track the use of Pageticker and to compile statistical reports. These cookies are not used to target users of Pageticker with online advertising. A summary of the cookies set by Pageticker can be found below:

Google Cookies are found throughout the site; these are for the purposes of website analytics; they are optional

Pedalogic place their own cookies on parts of the teacher dashboard; these are for the purposes of remembering user preferences; they are necessary

‘Necessary’ cookies enable core platform functionality and features such as security, network management and accessibility and do not require user consent to be set. Cookies that enable functionality that is not strictly necessary for core platform functions and features are classed as ‘Optional’ and therefore consent is sought via a cookie banner. Your personal data rights
Under the Data Protection Laws your rights are:

To be informed: We must make this privacy policy (sometimes referred to as a privacy notice) available with the emphasis on transparency over how we process your data.

Access: You are entitled to find out what details we may hold about you and why. We strive to be as open as we can be in terms of giving people access to their personal data. Individuals can find out if we hold any of their Personal Data by making a formal request under the Data Protection Laws. Such requests should be in writing to the contact details provided in this policy. If we do not hold information about you we will confirm this in writing at the earliest opportunity. If we do hold your personal data we will respond in writing within one calendar month of your request (where that request was submitted in accordance with this policy).

Rectification: We are obliged to correct or update your details. We will correct or update your data without delay provided you make the request in writing to the contact details provided in this policy, clearly specifying which data is incorrect or out of date.

Erasure: This is also known as the request to be forgotten. Under Data Protection Laws you have the right to erasure under specific circumstances. A request for your personal data to be deleted will be decided on a case by case basis and should be submitted in writing to the contact details provided in this policy.

Restrict processing: You have the right to ‘block’ or suppress the processing by us of your personal data.

Portability: You have the right to obtain and reuse your personal data that you have provided to us.

Object: You have the right to object to us processing your data in relation to direct marketing and or profiling.

Rights in relation to automated decision making and profiling: We do not use automatic decision making or profiling.
Please note that you may need to provide identification in order to prove who you are if you wish to invoke any of your rights as provided by the Data Protection Laws and as summarised above on your on behalf or on behalf of a child in your care.

If you agree, we will try to deal with your request informally, for example by providing you with the specific information you need over the telephone.
